Why ERP projects go wrong
Months of analysis, nothing to test
A thick analysis document feels like progress, but only when you see software do you know whether it is right. That is why we build a proof of concept early: you give feedback on something that works, not on abstract documents.
Switching everything in one weekend
A big-bang go-live: switch off the old system on Friday, hope the new one works on Monday. We go live in phases, starting with the processes with the most impact. One working piece is worth more than ten promised ones.
After go-live: silence
The real questions come right after go-live. With us, every go-live is followed by two to three weeks of hypercare with daily check-ins. And small questions stay small afterwards.
Design: a proof of concept that is not throwaway work
We set up Odoo according to best practices and present every choice to you with an honest category: standard, configuration or custom development. In the world of software, anything is possible, but not everything is desirable. For custom development, you decide per item: that change is worth it to you, or it is not.
We do not throw away the proof-of-concept environment after your approval: it is the basis you go live with. What you test is what you get. No demo environment that has to be rebuilt afterwards anyway.
We are just as concrete about the price. After the diagnosis, we know enough to fix the price of the first phase: one amount, no open end. What is not included, we name up front, so there are no surprises afterwards.
Delivery: phased go-live, in short cycles
Our consultants configure, our developers build, all in-house. We start with the processes that have the most impact and deliberately keep the lead time short, because a dragging project gets more expensive. We prefer to start small and expand when the extra functionality is actually needed.
First: where the money flows
For most SMEs, phase one starts with quotes, orders and invoices: CRM, sales and accounting. That is where double entry costs the most time today, so that is where you see results fastest.
Then: the flow of goods
Once the sales flow is in place, next come inventory, purchase and where needed manufacturing. Every cycle ends with something your team actually uses, with fixed check-in moments in between.
This is how going live is not a gamble
Scripted migrations
Your data moves with scripts, not with copy-paste. Repeatable: we run the migration as often as needed on a test environment until it runs without errors, and once more on go-live day with your current data. Full history included where that makes sense. We fully migrate your accounting from Exact Online, Adsolut, Octopus or Sage BOB 50, at a fixed price.
The reverse workshop
Just before go-live, we reverse the roles: you are at the controls and run your own scenarios, from quote to invoice. We watch. If a scenario gets stuck, we do not go live. Only when your people can do it themselves do we give the green light.
Hypercare with daily check-ins
For the first two to three weeks after go-live, we check in every day. We tackle questions and errors right away while your team gets up to speed. After that, you choose how we continue: a package of hours or a service agreement with fixed response times during business hours.
Migrating your accounting history? That is possible, for a fixed price.
If you work in Exact Online, Adsolut, Octopus or Sage BOB 50, we migrate your full accounting to Odoo: all fiscal years, documents, open items and fixed assets, at a fixed price per company file. Your accountant checks the figures on a test environment before we go to production. Read more about accounting migration. What we ask of you
One point of contact with a mandate
We ask for one SPOC who is allowed to make the calls. Not because we do not want to talk to your team, but because a project without a decision-maker stalls at every choice. Borderline cases we present with options and a recommendation; the decision stays with you.
Time from your key users
The people who create your quotes, orders and invoices today will test the new environment. That costs them hours they do not really have, we know. Plan that time anyway: the reverse workshop stands or falls with key users who have practiced.
What you get in return
Training is included as standard: live sessions per module, recorded instruction videos and cheatsheets in your own language. The goal: that you can do it yourself tomorrow. What customers ask us beforehand
It depends on scope; promising an exact end date without analysis would be guessing. The order of magnitude: for a first phase at an SME with five to fifteen users, count on three to six months in practice. It can be shorter if your processes are clear and custom development stays limited. It gets longer as soon as third-party integrations, manufacturing flows or multi-company setups come into play. We deliberately keep the lead time short by working in phases: getting a first set of processes live has priority, the rest is added step by step on the same Odoo installation.
The cost of an implementation depends on the apps in scope, the data migrations, the custom development, the API integrations and any custom customer portals. On top of that comes the Odoo license, see odoo.com/pricing. We fix the price of the analysis phase up front. After the diagnosis, you get one fixed price for the first phase. What is not included, we name up front.
Yes, that is actually the intention. Your old system simply keeps running until the reverse workshop has succeeded. Because our migrations are scripted, we run them again on go-live day with your current data: you lose nothing of what you entered in the meantime. After the switch, you keep the old system available for consultation for a while, for everything you are legally required to retain.
Phased, unless there really is no other way. We prefer to start small and expand when the extra functionality is actually needed. Sometimes an expiring contract or an integration forces a bigger first step; then we say so, and we plan extra testing and hypercare time around it. But switching everything in one weekend because it looks more efficient on paper: we advise against that.
Something always goes wrong. We do not promise you a flawless go-live, however well we test. What we do promise: if a mistake is ours, we say so and fix it as soon as possible. If we find an error you have not spotted yet, we report it ourselves. If the bug is in Odoo, we say that too and look for a solution or a workable alternative. That is what the daily check-ins during hypercare are for: problems surface while we are still there every day.
