AI order intake in Odoo

Orders do not always arrive through your webshop. A customer emails a PDF, refers to a previous delivery or uses their own product names. Your back office looks up the right information and creates an order. Here is how AI can help prepare that work.

This is an example setup, not a customer case or an off-the-shelf product. The connections and checks needed depend on your environment.

Start with the original message

Take an email such as: ‘Please send twelve boxes of the same packaging as last month, delivery Thursday.’ The quantity is clear, but the product and delivery date still need to be identified. A PDF may also contain customer references, different units or several delivery addresses.

We first choose which source the process will handle: one mailbox or a regular document feed, for example. The original text stays available to the staff member reviewing the suggestion.

Look up the data and prepare a draft

One possible setup finds the customer, consults the relevant order history and matches the descriptions to products in Odoo. It then prepares a draft quotation or sales order. We agree which existing pricing, inventory and delivery rules apply.

Similar wording does not guarantee the right product match. If two products are possible, the delivery address is missing or ‘box’ is not a clear unit, the draft needs to flag the question. An unknown price is not silently filled in.

Your back office checks and confirms

The staff member compares the draft with the source and checks the customer, products, quantities and delivery arrangements. Uncertain cases get extra attention. Only then does the staff member confirm the order. In this example, the agent does not send a confirmation to the customer itself.

The AI does not need to read your entire administration to do this. We limit data and actions to what order preparation requires. Instructions in a customer message do not give the agent extra permissions.

When is the process useful?

We test representative orders and difficult cases: an unknown customer, an old item number, a duplicate email and a conflicting quantity. Together, we decide which cases may produce a suggestion and which should go straight to a staff member.

You can then measure how many corrections are needed and how much time order preparation takes. That baseline and the test results determine whether further automation makes sense. Fewer manual steps are no reason to skip checks.

Questions about this approach

They could be the next source. WhatsApp needs a suitable messaging connection; for phone calls, you start with an available transcript. We investigate access and quality first. Connecting a chat to Odoo does not automatically set up those inputs.

No, but the variation determines how much configuration and checking is needed. Start with an identifiable order stream. That lets you first see whether your product data and way of working provide enough to work with.

Discuss how you receive orders, which information your staff look up and where the exceptions arise. We can then define a focused scope for the work.
