AI in your business: where do you start?

Start with your existing chat account

Pick one task you know well. For example, ask the chat to read an order email and list the products, quantities and missing information. Or ask it to prepare a quotation or summarise a long document.

Try difficult cases too. What does it do when a product name is unclear or a quantity is missing? Check the answer yourself. Only use data your organisation is allowed to process in that chat.

This shows you what helps and what still goes wrong. Is opening the chat and guiding it yourself still convenient? Then that can remain the way you work.

Automate tasks that come up often

Do you want every new order email to be processed automatically? Then the AI needs to work with your mailbox and Odoo. Some chat apps can already carry out tasks through built-in connections. For more control, you can build your own connection through an API: an interface that lets software call the AI.

For example: an email arrives, AI extracts the order details, and Odoo looks up the customer and products and creates a draft order. A staff member checks and confirms it. Is information missing? Then processing stops for review.

An AI agent can choose intermediate steps itself, such as looking up customer details. That can be useful, but ordinary software is often enough for a fixed calculation or a simple rule.

API usage is often billed separately according to how much you use. Your chat subscription does not automatically cover it; sometimes credit is included. Check what your chosen service offers.

You do not always need the most expensive model

A powerful model is useful for difficult questions and complex documents. For repeatedly taking the same details from an email, a smaller and cheaper model may be enough.

Compare them on the same examples. Look at correct answers, speed and how much a person still needs to correct. A more expensive model can work out cheaper if it saves a lot of review work.

Do not have AI do everything either. Leave price lookups and total calculations to Odoo. That way, you pay for the work where AI adds value.

Start with one small test

Choose one recurring task and collect a few ordinary and difficult examples. Agree who checks the results and what a good result looks like.

Then count all the costs: AI usage, the connection and human review work. Does it save enough time, and do the errors remain manageable? Then you can expand.
