AI for your accounting in Odoo
Reading an invoice is one step. Deciding how to post it and investigating why it differs from an order takes more context. AI can bring information together and prepare a suggestion. Your accountant assesses the result.
This is an example setup, not a customer case or an off-the-shelf product. We first assess your accounting configuration and the available data.
What Odoo already does
Odoo can digitise vendor bills and extract data from documents. Structured invoice data can also remove much of the data entry. We first look at which standard feature fits, so you do not have an agent built for work your environment already handles.
A readable invoice does not mean its contents are right for your accounting. The account, analytic distribution, VAT treatment and matching with an order still need attention. That is where this example begins.
From a vendor bill to a supported suggestion
Suppose a regular vendor sends a new bill. One possible setup finds similar earlier entries and the associated purchase order or receipt. The result is a suggestion with the supporting data: which account seems appropriate, which distribution was used before and where does this invoice differ?
History helps, but it does not decide. A vendor may invoice a different kind of service, and an earlier entry may be incorrect. The staff member therefore needs to see what supports the suggestion. If that support is missing, the question remains open.
Investigate differences in a focused way
You can extend the process with checks that fit your closing. For example, an invoice with the same reference as an earlier invoice, a quantity that does not match the receipt or a bank statement line for which a document is still missing.
A flag does not prove that something is wrong. A second invoice may be valid; a delivery may still be on its way. The list needs to show the documents involved and what the accountant still needs to investigate.
Your accountant handles the result
We agree who reviews suggestions and which cases require extra approval. In this example, the agent does not post final entries or make payments itself. The accountant adjusts or rejects the suggestion and then follows the normal accounting process.
For the test, we use different document types and exceptions. We compare the result with what the accountant expects and track corrections. Only then can you assess which task is sufficiently reliable and how much review work remains.
Questions about this approach
No. The aim is to support preparation and investigation. Interpreting an unusual transaction, deciding its tax treatment and approving it remain the responsibility of the authorised staff member or adviser.
A clear accounting setup, representative documents and someone who can assess the result. We determine which history is available, which checks matter and which data the AI provider needs for the task.
We first check the version, edition, subscription and connections. Standard invoice processing, built-in AI and an external agent each have their own requirements. The setup follows what your environment supports.
